Terms of Service

1. The Service

Brefi is a team communication and organisational memory tool that allows team members to submit daily briefs via text or voice. Briefs are transcribed, summarised using artificial intelligence, and distributed to the team. Over time, Brefi builds an organisational memory to improve the quality and relevance of summaries and insights.

2. Eligibility

You must be at least 16 years of age to use the Service. By using Brefi, you confirm that you meet this requirement. The Service is intended for professional and business use.

3. Account registration and consent

To use the Service, you must create an account. During signup, you are required to actively check a consent checkbox confirming that you have read and agree to these Terms and our Privacy Policy, including the long-term retention of your brief content for AI improvement purposes. This checkbox is not pre-checked and cannot be bypassed.

By creating an account, you agree to:

• Provide accurate and complete information during registration
• Keep your login credentials secure and confidential
• Notify us immediately of any unauthorised use of your account
• Be responsible for all activity that occurs under your account

We reserve the right to suspend or terminate accounts that violate these Terms.

4. Use of the Service

You agree to use Brefi only for lawful purposes and in accordance with these Terms. You agree not to:

• Submit content that is unlawful, harmful, threatening, abusive, harassing, defamatory, or otherwise objectionable
• Impersonate any person or entity or misrepresent your affiliation
• Attempt to gain unauthorised access to other accounts or systems
• Reverse engineer, decompile, or attempt to extract the source code of the Service
• Use the Service to transmit spam, malware, or any other malicious content
• Use automated means to access or scrape the Service without prior written consent

5. Content you submit

You retain ownership of the content you submit to Brefi (“User Content”), including text briefs and voice recordings. By submitting content, you grant us a licence to process, store, transcribe, and use your content for the purposes described in these Terms and our Privacy Policy, including long-term retention for AI improvement.

You are responsible for the accuracy and appropriateness of the content you submit. We do not review User Content before it is processed or distributed to your team.

6. Long-term data retention for AI improvement

Subject to your explicit consent at signup, Brefi retains brief content indefinitely for the following purposes:

• Building and maintaining organisational memory within the Service
• Improving the accuracy and quality of AI-generated summaries and insights
• Identifying patterns and providing better output to users over time

You may withdraw your consent and request deletion of all your data at any time by deleting your account within the application. See our Privacy Policy for full details on data retention and your rights.

7. AI-generated summaries and transcriptions

Brefi uses AI to transcribe voice briefs (via OpenAI Whisper) and to summarise and process brief content (via Anthropic). AI-generated output is provided for informational purposes. You acknowledge that:

• AI transcriptions and summaries may contain errors or omissions
• You should review output for accuracy before acting on it
• We are not liable for decisions made based on AI-generated content

8. Data and privacy

Our collection and use of your personal data is governed by our Privacy Policy, incorporated into these Terms by reference. By using the Service, you consent to the data practices described therein, including the use of third-party processors: Supabase (database), Vercel (hosting), Anthropic (AI summarisation), OpenAI (voice transcription), and Resend (email delivery).

9. Administrators

If you are a team administrator on Brefi, you are responsible for:

• Ensuring all team members are informed of these Terms and the Privacy Policy before using the Service
• Ensuring your use of Brefi complies with applicable employment and privacy laws in your jurisdiction
• Managing team membership and access appropriately

10. Availability and modifications

We will make reasonable efforts to keep the Service available, but do not guarantee uninterrupted access. We reserve the right to:

• Modify, suspend, or discontinue the Service at any time with reasonable notice
• Update these Terms from time to time. Continued use after changes constitutes acceptance
• Perform maintenance that may temporarily affect availability

11. Intellectual property

All intellectual property rights in the Service, including its design, software, and content (excluding User Content), belong to Olov Bengtsson or our licensors. Nothing in these Terms grants you any right to use our trademarks, logos, or brand names without prior written consent.

12. Disclaimer of warranties

The Service is provided “as is” and “as available” without warranties of any kind. To the fullest extent permitted by applicable law, we disclaim all warranties, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

13. Limitation of liability

To the fullest extent permitted by applicable law, Olov Bengtsson shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim, or SEK 1,000 if no payment was made.

14. Indemnification

You agree to indemnify and hold harmless Olov Bengtsson from any claims, damages, losses, and expenses (including reasonable legal fees) arising from your use of the Service, your User Content, or your violation of these Terms.

15. Termination

You may terminate your account at any time using the account deletion feature within the Service. We may suspend or terminate your access if you violate these Terms. Upon termination, your right to use the Service ceases immediately and your personal data will be deleted in accordance with the Privacy Policy.

16. Governing law and disputes

These Terms are governed by the laws of Sweden. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the Swedish courts.
